Job Description

The role of a Front Desk cum Admin Executive is crucial for ensuring smooth daily operations within an organization. As the initial point of contact for visitors and callers, you will be responsible for managing first impressions by greeting visitors, managing a multi-line phone system, and directing inquiries to the appropriate personnel. In addition to these front desk duties, you will perform a variety of administrative tasks that are essential for the effective functioning of your department. This dual-role position requires excellent communication skills, a high degree of professionalism, and the ability to juggle multiple tasks simultaneously. An excellent telephone manner, strong organizational skills, and proficiency in office software contribute significantly to success in this position.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office and provide them with appropriate directions.
  • Manage incoming calls on a multi-line phone system and forward them to relevant departments.
  • Maintain security and telecommunications systems, including managing access and visitor logs.
  • Organize and schedule appointments, meetings, and conference calls as needed.
  • Receive, sort, and distribute daily mail deliveries and manage courier logistics.
  • Provide general administrative and clerical support, including data entry and photocopying.
  • Coordinate and oversee office supplies' inventory and place orders when necessary.
  • Assist in the preparation of regularly scheduled reports and maintain filing systems.
  • Support the administrative team with document preparation, formatting, and document management.
  • Ensure that the reception area is tidy and presentable, equipped with necessary stationery and materials.
  • Collaborate with the HR department for onboarding processes and handling documentation.
  • Address basic inquiries from employees and give appropriate information when possible.

Requirements

  • High school diploma or equivalent; additional qualifications in office management are a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role required.
  • Proficiency in Microsoft Office Suite and telephone systems are essential for this role.
  • Solid written and verbal communication skills, with a friendly and professional phone manner.
  • Excellent organizational skills and multitasking ability in a fast-paced environment.
  • Customer service attitude with a knack for conflict resolution and problem-solving.
  • Ability to manage sensitive information with the highest level of confidentiality and professionalism.
