Job Description

A Document Controller is a key player in the overall success of any organization as they ensure that all critical documents are maintained and up-to-date within the company. These professionals manage the storage, retrieval, and archiving of documents, ensuring compliance with various industry and government standards. Working closely with project managers and engineers, they coordinate document flow and maintain records that are easily accessible and systematically organized. Their contribution is significant in safeguarding proprietary information, supporting business operations, and enhancing productivity. Attention to detail, organizational skills, and adherence to document management protocols are paramount for this role. This position often requires interaction with multiple departments, making it critical for the document controller to possess excellent communication skills and the ability to manage several simultaneous tasks.


Responsibilities

  • Maintain an organized system for document storage and retrieval across all departments.
  • Ensure that all company documents are up-to-date and comply with industry standards.
  • Collaborate with project managers to collect, organize, and distribute project-related documents.
  • Develop and maintain document control processes and systems for the efficient management of information.
  • Coordinate with different teams to rectify any file discrepancies or retrieval issues.
  • Conduct regular audits to ensure compliance with document management procedures and policies.
  • Train and support staff on the use of document control systems and practices.
  • Safeguard confidential and proprietary documents with secure access protocols.
  • Ensure document templates are regularly reviewed and updated to maintain accuracy.
  • Create and generate reports detailing document management activities and compliance issues.
  • Attend meetings as needed to provide updates on document control processes and projects.
  • Address and resolve any issues pertaining to document control under strict deadlines.

Requirements

  • Bachelor’s degree in information management, administration, or a related field.
  • Minimum of three years of experience in document control or records management.
  • Proficiency in document management software and Microsoft Office Suite is required.
  • Excellent organizational and multitasking skills to handle various documentation tasks.
  • Strong attention to detail and the ability to maintain accuracy in documentation.
  • Effective written and verbal communication skills to liaise with team members and external partners.
  • Ability to understand and adhere to data protection and confidentiality standards.
