Job Description

A Document Controller is a pivotal role within any organization that requires meticulous management and oversight of important documents and records. Engaged primarily within industries such as construction, engineering, and oil & gas, Document Controllers ensure that all vital documents are well-organized, securely stored, and accessible to authorized personnel. They play a critical part in supporting project teams and management by maintaining a systematic document handling process, guaranteeing regulatory compliance, and safeguarding sensitive information. This position demands a high level of attention to detail, organizational skills, and strong working knowledge of document management software systems. Success in this role will contribute significantly to the smooth operation and efficiency of the company’s project workflows.


Responsibilities

  • Maintain and update records of construction drawings, project contracts, and documentation.
  • Develop and implement document control procedures for all document-related activities.
  • Ensure all documents are easily accessible and stored in compliance with company policies.
  • Review and verify documents for completeness, accuracy, and compliance with established procedures.
  • Coordinate the flow of documents among project teams and external parties.
  • Monitor revisions and changes in documentation processes and update databases accordingly.
  • Prepare reports and summaries of document status and changes as required by management.
  • Assist in training staff on document control procedures and software utilization.
  • Respond promptly to requests for documents and information from internal and external stakeholders.
  • Safeguard confidential and proprietary information by maintaining strict document security protocols.
  • Ensure timely archiving and retrieval of documents as per project or regulatory requirements.
  • Support the project management team with additional administrative tasks as needed.

Requirements

  • Bachelor's degree or equivalent experience in document management or related field.
  • Proven experience as a Document Controller in a similar industry environment.
  • Proficiency with document management software and MS Office Suite applications.
  • Exceptional attention to detail and highly organized with multitasking skills.
  • Strong verbal and written communication skills with teamwork ability.
  • Familiarity with regulatory standards related to document handling and storage.
  • Ability to handle sensitive information with the utmost confidentiality and integrity.
