Job Description

We are seeking a detail-oriented and organized Document Controller to join our team. In this role, you will be responsible for the efficient management and organization of company documents, ensuring their accuracy and accessibility. You will play a critical part in our document management process, ensuring that documents are properly filed, submitted, and retrieved as needed. The ideal candidate will have a strong eye for detail, exceptional organizational skills, and the ability to manage a wide range of documents systematically. Responsibilities

  • Manage and maintain company documents in an organized and accessible manner.
  • Ensure all documents are accurately labeled, filed, and linked to relevant records.
  • Coordinate with different departments to manage document flow and accessibility.
  • Monitor incoming and outgoing document requests and ensure timely responses.
  • Implement and maintain document control procedures and systems for efficiency.
  • Train and support other staff on document management policies and procedures.
  • Review documents for compliance with company standards and legal requirements.
  • Regularly audit document control processes to identify areas for improvement.
  • Prepare regular reports on document control system performance and issues.
  • Collaborate with information technology teams on systems improvements for document management.
  • Safeguard the integrity and confidentiality of documents according to company policies.
  • Assist in the digitization and organization of archival documents and records.

Requirements

  • Proven experience as a Document Controller or in a similar role.
  • Strong organizational skills and keen attention to detail are required.
  • Proficiency in document management software and office productivity tools.
  • Excellent communication skills, both verbal and written, are necessary.
  • Strong understanding of document management regulations and industry standards.
  • Ability to work independently and manage multiple priorities efficiently.
  • Experience with training and supporting staff on document control systems.
