Job Description

The Document Controller is a pivotal role within an organization, crucial for managing and overseeing the control of documentation for various projects and operations. This position ensures that all company documents are maintained with the highest level of integrity, security, and accessibility—facilitating the efficient and effective flow of information. The Document Controller is responsible for implementing and managing document control systems, ensuring compliance with industry standards, and working closely with multiple departments to provide solutions that enhance document management processes. A keen eye for detail, excellent organizational skills, and prowess in handling various document management systems are essential to thrive in this role. The individual would also act as a point of contact for internal and external stakeholders concerning document control procedures and guidelines.


Responsibilities

  • Developing and implementing document control procedures and systems for the organization.
  • Maintaining the document management system to ensure all documentation is up to date.
  • Ensuring compliance with company policies, procedures, and industry standards on documentation.
  • Facilitating the secure storage and easy retrieval of documents for authorized personnel.
  • Coordinating with project teams to ensure the timely exchange of documents.
  • Conducting regular audits of the document management system to identify areas for improvement.
  • Managing document control processes including the validation and registration of documents.
  • Liaising with external partners and ensuring alignment on documentation standards and practices.
  • Training employees on document management protocols and usage of the document control system.
  • Implementing and maintaining an efficient electronic and hardcopy archival system for all records.
  • Reviewing documents for accuracy and completeness before they are finalized and filed.
  • Providing support to ensure document control practices align with regulatory requirements.

Requirements

  • Bachelor's degree in Business Administration, Information Management, or related field.
  • Proven experience as a Document Controller or similar role in a business setting.
  • Familiarity with document management systems such as SharePoint or ECM software.
  • Outstanding organizational skills and attention to detail is a must.
  • Strong understanding of document control processes and quality control standards.
  • Exceptional written and verbal communication skills are crucial.
  • Ability to multitask, prioritize and manage time efficiently under pressure.
