Job Description

We are seeking a meticulous and organized Document Controller to join our team and manage all aspects of our document control processes. The successful candidate will play a crucial role in managing and safeguarding our organization's documentation. This position requires a high level of attention to detail and organization to ensure the accuracy of all documents and their timely distribution as well as proper archive maintenance. You will be responsible for overseeing document flow across various departments to ensure they meet our quality standards and comply with industry regulations. Responsibilities

  • Ensure that all company documents are correctly stored and easily accessible.
  • Maintain the document control management system and ensure its proper operation.
  • Organize and categorize documents to streamline retrieval and distribution processes.
  • Collaborate with various departments to implement document control protocols.
  • Oversee the lifecycle of documents from creation through to archiving.
  • Conduct regular audits of the document management system to ensure accuracy.
  • Facilitate the review and approval process of documents, ensuring compliance.
  • Train team members on document management procedures and policies effectively.
  • Coordinate with external partners to manage and share documents safely.
  • Support data entry and document digitization efforts to ensure consistency.
  • Create reports and summaries about document control status for management review.
  • Ensure the confidentiality and integrity of sensitive company documentation.

Requirements

  • Bachelor's degree in Information Management, Business Administration, or similar field.
  • At least three years of experience in document control or related roles.
  • Proficiency in using document control software and management systems effectively.
  • Strong organizational skills with keen attention to detail and accuracy.
  • Excellent communication skills, both oral and written, for effective collaboration.
  • Ability to work independently and manage multiple tasks simultaneously under tight deadlines.
  • Familiarity with industry regulations and standards related to document control.
