The Administrative Assistant 03M26 plays a vital role in ensuring the efficient operation of an organization’s administrative functions. This position involves a mix of clerical, communication, and organizational tasks, aimed at supporting the smooth running of daily operations. The ideal candidate will possess strong attention to detail, excellent communication skills, and the ability to multitask effectively in a fast-paced environment. As the lynchpin of the office, the administrative assistant will handle a diverse array of tasks, from managing phone calls and emails to scheduling appointments and maintaining databases. Responsibilities

  • Provide general administrative support to various departments as needed.
  • Coordinate and manage scheduling of meetings, appointments, and events effectively.
  • Assist in the preparation and organization of reports, presentations, and correspondence.
  • Maintain accurate files and electronic databases for easy retrieval and management.
  • Conduct regular inventory checks and order office supplies when necessary.
  • Answer and direct phone calls, emails, and in-person queries with professionalism.
  • Facilitate travel arrangements and accommodations for staff and management when required.
  • Support onboarding process for new employees, including setting up workstations.
  • Ensure timely processing and documentation of invoices and other financial records.
  • Monitor, respond to, and distribute internal and external communications efficiently.
  • Collaborate with staff and management to streamline office operations and procedures.
  • Maintain confidentiality of sensitive information and adhere to company policies.

Requirements

  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in MS Office Suite, including Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills are essential.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Detail-oriented mindset and ability to work independently with minimal supervision.
  • Experience with office equipment such as printers, scanners, and fax machines.
  • High school diploma or equivalent is required; additional qualifications are a plus.
