The Administration Executive in the Leasing sector serves as a pivotal role within the property management and leasing departments. This crucial position involves managing various administrative tasks to ensure seamless operations within the leasing office and enhancing tenant satisfaction. The role requires exceptional organizational skills, strong attention to detail, and a deep understanding of leasing procedures and regulations. The Administration Executive acts as the coordinator between tenants, property managers, and service providers, ensuring smooth transitions and effective communication. They are responsible for maintaining leasing records, processing rental applications, and supporting lease renewals. This position demands proficiency in data management, customer service, and compliance with regulatory requirements, making it integral to the efficient functioning of the leasing department.


Responsibilities

  • Coordinate with property managers to ensure smooth leasing operations.
  • Maintain accurate and updated leasing and tenant records in databases.
  • Assist in the preparation and processing of rental applications and leases.
  • Facilitate effective communication between tenants, property managers, and service providers.
  • Support the lease renewal process by tracking lease expiration dates.
  • Provide exceptional customer service to current and prospective tenants.
  • Ensure compliance with relevant leasing laws and company policies.
  • Handle routine inquiries and resolve tenant issues in a timely manner.
  • Organize and maintain files and ensure proper documentation of all leasing activities.
  • Assist in coordinating property viewings and maintaining schedules for property tours.
  • Prepare and distribute lease-related correspondence and notifications to tenants.
  • Manage administrative tasks related to tenant move-ins and move-outs efficiently.

Requirements

  • Bachelor's degree in business administration, real estate, or a related field.
  • Minimum of 3 years of experience in leasing administration or property management.
  • Proficiency in property management software and Microsoft Office Suite.
  • Strong organizational skills and ability to manage multiple priorities effectively.
  • Excellent communication skills, both verbal and written, for tenant interactions.
  • Knowledge of leasing laws, regulations, and compliance requirements.
  • Detail-oriented with the ability to maintain a high level of accuracy.
  • Customer service experience with a focus on resolving tenant issues promptly.
