Job Description

An Administration Executive in the leasing sector is responsible for overseeing and coordinating the administration processes and systems to ensure the seamless and efficient operation of leasing projects. This professional plays a crucial role in managing tenant relationships, documentation, and leasing agreements while supporting the sales and marketing teams with administrative tasks. The role demands an organized individual with excellent communication skills and attention to detail, capable of handling multiple priorities simultaneously. As an Administration Executive, you will be the go-to person for all matters related to leasing administration, ensuring regulatory compliance, and maintaining up-to-date records. You will collaborate closely with property managers, accounting departments, and external vendors to facilitate the timely execution of leasing activities.


Responsibilities

  • Prepare and review lease agreements and ensure accuracy and completeness.
  • Maintain and update tenant records, agreements, and contact information diligently.
  • Coordinate the lease application process and ensure all documents are finalized.
  • Act as a liaison between tenants and property management to resolve issues.
  • Develop and implement lease administration policies and procedures efficiently.
  • Monitor lease expirations and coordinate renewals or terminations proactively.
  • Assist in preparing reports and presentations for management or clients as needed.
  • Facilitate communication between leasing agents and prospective tenants effectively.
  • Maintain confidentiality of sensitive information and ensure privacy compliance.
  • Coordinate with maintenance teams to address and resolve tenant concerns promptly.
  • Participate in budget planning and financial tracking related to leasing activities.
  • Ensure compliance with all legal and regulatory requirements for leasing activities.

Requirements

  • Bachelor's degree in Business Administration or related field preferred.
  • Proven experience in lease administration or property management required.
  • Strong attention to detail with excellent organizational skills essential.
  • Exceptional written and verbal communication abilities are mandatory.
  • Proficient with property management software and Microsoft Office Suite necessary.
  • Ability to manage multiple tasks simultaneously and meet tight deadlines.
  • Strong problem-solving skills and ability to work independently critical.
