Job Description

The Travel Desk Executive – Visa Support is a key member of our travel management team, responsible for facilitating a smooth visa application process for our clients. You will be working with travelers, providing detailed information on visa requirements, processing timelines, and application steps. As the primary contact for our clients concerning visa-related inquiries, you will ensure the delivery of exceptional customer service, addressing all queries promptly and accurately. Your role will also involve coordinating with embassies and consulates, monitoring application statuses, and meeting tight deadlines. This position requires excellent organizational and communication skills to keep all parties informed and to ensure that travel plans proceed without delays or issues. Responsibilities

  • Coordinate visa applications by collecting required documents from clients.
  • Provide clients with accurate information regarding visa application procedures.
  • Liaise with embassies and consulates for documentation submissions and inquiries.
  • Track progress and status of visa applications for timely follow-ups.
  • Advise travelers on any changes in visa requirements or policies.
  • Assist in filling visa application forms with a high attention to detail.
  • Communicate effectively with clients regarding application statuses and expected processing times.
  • Maintain a database of visa requirements for frequently traveled destinations.
  • Ensure the timely payment of visa processing fees and related costs.
  • Respond promptly to client queries and concerns regarding visa issues.
  • Develop and maintain strong relationships with clients and travel partners.
  • Prepare regular reports on visa application trends and success rates.

Requirements

  • Proven experience in travel coordination or a related field is required.
  • Strong knowledge of international visa requirements and regulations.
  • Exceptional organizational skills with attention to detail and accuracy.
  • Excellent verbal and written communication skills are essential.
  • Proficiency in using MS Office and travel management software applications.
