Job Description

The role of a Receptionist is crucial to creating a positive first impression for any organization. As a Receptionist, you will be the face of the company, responsible for handling front-office reception and administrative duties, including greeting guests and offering them a beverage, answering phones, handling company inquiries, and sorting and distributing mail. You will also be responsible for scheduling meetings and travel for executives and managing calendars effectively. This role requires excellent communication skills, a friendly demeanor, and the ability to work in a fast-paced environment. A successful Receptionist should ensure that all interactions with clients and staff are efficient and professional, contributing to the smooth daily operation of the office.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office swiftly and courteously.
  • Answer, screen, and forward incoming phone calls professionally.
  • Ensure reception area is tidy and presentable, with all necessary materials.
  • Provide basic and accurate information in person and via phone/email.
  • Receive, sort, and distribute daily mail/deliveries to appropriate departments.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep inventory of stock regularly updated.
  • Maintain the organization of the calendar and schedule meetings/appointments.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Coordinate with the office administration team to manage daily tasks efficiently.
  • Provide administrative support to the management team as required.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and basic computer skills are essential.
  • Professional attitude and appearance with impeccable interpersonal skills.
  • Solid written and verbal communication skills are mandatory.
  • Ability to handle stressful situations and adapt to changing priorities.
  • Excellent organizational skills and attention to detail are required.
  • High school diploma or equivalent education certification is necessary.
