Job Description

We are seeking a highly organized and friendly Receptionist to join our team and serve as the first point of contact for our clients and visitors. The ideal candidate will be responsible for managing front-desk activities, coordinating communication, and ensuring a seamless flow of operations within the office. You will play a critical role in creating a welcoming atmosphere and will be tasked with handling inquiries and providing excellent customer service. A successful Receptionist is skilled in multitasking, possesses strong communication abilities, and can handle stressful situations with grace. Responsibilities

  • Greet and welcome guests as they arrive at the office.
  • Direct visitors to the appropriate person or department promptly.
  • Answer, screen, and forward incoming phone calls professionally.
  • Provide basic and accurate information in-person and via phone or email.
  • Maintain the office security by following safety procedures and protocols.
  • Monitor office supplies and place orders to replenish stock as needed.
  • Receive, sort, distribute daily mail, deliveries, and courier packages.
  • Maintain a clean and organized reception area at all times.
  • Ensure all administrative activities run smoothly every day.
  • Coordinate with other departments for efficient business operations.
  • Organize and schedule meetings or appointments as requested.
  • Support the team with various administrative tasks and secretarial duties.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and office equipment, such as printers.
  • Strong organizational skills with the ability to prioritize and multitask effectively.
  • Excellent verbal and written communication skills are crucial.
  • Professional attitude and appearance with a customer service mindset.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • High school diploma; additional certification in Office Management is a plus.
