Job Description

The Office Assistant plays a crucial role in ensuring the smooth operation of daily administrative functions within an organization. This position is ideal for someone who is organized, detail-oriented, and capable of multitasking. The Office Assistant will be responsible for performing a wide range of administrative tasks to support the team and management. They will be the go-to person for handling general office duties, such as managing correspondence, scheduling meetings, and maintaining office supplies. Responsibilities

  • Answer and direct incoming phone calls to the appropriate personnel.
  • Manage office correspondence, including emails, letters, and package deliveries.
  • Schedule and organize meetings, appointments, and employee events efficiently.
  • Assist with the preparation of meeting agendas, documents, and presentations.
  • Maintain and order office supplies to ensure the office runs smoothly.
  • Greet and assist visitors with a warm and professional demeanor.
  • Organize and maintain office filing systems, both digitally and physically.
  • Coordinate and manage office cleaning and maintenance schedules.
  • Support the HR department in onboarding and training new employees.
  • Assist in basic bookkeeping tasks, including invoicing and expense tracking.
  • Prepare and distribute internal communications as directed by management.
  • Collaborate with team members to enhance workflow and office efficiency.

Requirements

  • High school diploma or equivalent; an associate degree is preferred.
  • Previous experience in an administrative or office assistant role is desirable.
  • Proficiency in Microsoft Office Suite and other common office software.
  • Strong organizational and time management skills are essential for success.
  • Excellent written and verbal communication skills with attention to detail.
  • Ability to work independently and handle multiple tasks simultaneously.
  • Strong interpersonal skills with a focus on customer and service orientation.
