Job Description

As a Junior Admin Executive, you will serve as a vital cog in the organizational wheel, ensuring smooth day-to-day operations and supporting various departments in administrative tasks. You will be responsible for managing and organizing office activities, liaising with different teams, and providing essential administrative support to enhance workflow efficiency. This role demands a proactive, detail-oriented individual who can prioritize tasks effectively and multitask in a dynamic work environment. The Junior Admin Executive will also be involved in maintaining files, scheduling meetings, and assisting with various administrative tasks as required. You will have the opportunity to grow within the organization, learning from senior executives and enhancing your skills in administration and management.


Responsibilities

  • Support senior executives in daily administrative tasks and office management duties.
  • Maintain an organized filing system for important and confidential documents.
  • Coordinate and schedule meetings, appointments, and conference calls efficiently.
  • Prepare, edit, and distribute correspondence, communications, and memos as necessary.
  • Monitor office supplies and place orders to ensure no shortage of materials.
  • Serve as a liaison among departments to facilitate communication and task completion.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Manage incoming and outgoing mail packages, and other forms of correspondence.
  • Ensure compliance with company policies, procedures, and industry regulations.
  • Provide general administrative support including photocopying, faxing, and mailing.
  • Assist with onboarding of new employees, providing essential resources and information.
  • Conduct basic research and gather data to support decision-making processes.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Prior experience in an administrative role will be considered a significant advantage.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent communication skills, both verbal and written, are essential.
  • Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint) is required.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Detail-oriented mindset with a proactive approach towards problem-solving.
  • Familiarity with office equipment like printers, scanners, and fax machines.
