Responsibilities

  • Answer and direct phone calls to the appropriate department or individual efficiently.
  • Manage and maintain the appointment calendar for meetings and visitors.
  • Organize and distribute incoming correspondence, such as emails and letters.
  • Assist with administrative tasks, including filing, data entry, and document preparation.
  • Maintain the reception area in a tidy and presentable manner at all times.
  • Ensure that all office supplies are stocked and request new orders as necessary.
  • Assist in preparing and setting up for company meetings and events.
  • Provide information and assistance to visitors, clients, and employees as needed.
  • Handle and resolve basic inquiries and complaints professionally and efficiently.
  • Coordinate with other departments to ensure seamless communications and operations.
  • Support office staff with various administrative projects and tasks.

Requirements

  • High school diploma or equivalent required; additional qualifications are a plus.
  • Proven experience as a front office assistant or in a related role.
  • Excellent written and verbal communication skills are essential.
  • Strong customer service orientation with a friendly and approachable demeanor.
  • Familiarity with office management procedures and basic accounting principles.
  • Proficiency in Microsoft Office Suite and office equipment operation.
  • Ability to handle multiple tasks simultaneously and prioritize efficiently.
