Job Description

The Front Desk Receptionist is the first point of contact for visitors and clients, providing a warm and professional face to our company. This role requires exceptional communication skills, a friendly demeanor, and a can-do attitude. As a vital member of the administrative team, the receptionist ensures smooth operation of the front desk activities, managing phone lines, scheduling appointments, and assisting with inquiries. An ideal candidate should be organized, efficient, and able to multitask in a fast-paced environment. The receptionist plays a crucial role in maintaining a tidy and welcoming reception area, representing our company’s image and ensuring client satisfaction at all times.


Responsibilities

  • Greet and welcome visitors in a courteous and friendly manner.
  • Answer, screen, and forward incoming phone calls in a timely manner.
  • Schedule and confirm appointments for clients and management staff.
  • Maintain a clean and organized reception area at all times.
  • Receive and distribute daily mail and deliveries efficiently.
  • Provide basic and accurate information in-person and via phone or email.
  • Perform clerical duties such as filing, photocopying, and faxing.
  • Assist in the ordering and inventory of office supplies as needed.
  • Handle customer inquiries and redirect them to the appropriate departments.
  • Ensure front desk security by following safety procedures and controlling access.
  • Update appointments and event calendars regularly for proper planning.
  • Coordinate with various departments to ensure efficient office operations.

Requirements

  • High school diploma or equivalent educational qualification required.
  • Proven work experience as a receptionist or in a related role.
  • Strong verbal and written communication skills are essential.
  • Excellent organizational and multitasking abilities in a busy environment.
  • Proficiency in Microsoft Office Suite and basic office equipment operation.
  • Professional appearance and strong customer service skills are a must.
  • Ability to handle sensitive information with confidentiality and tact.
