Job Description

The Front Desk Clerk is a pivotal role within our organization, serving as the first point of contact for our clients and visitors. As a Front Desk Clerk, you will be responsible for providing exceptional customer service and ensuring efficient and effective operation of the front desk activities. This role requires an individual with a professional demeanor, excellent communication skills, and the ability to multitask in a dynamic environment. The ideal candidate will display a warm disposition, attention to detail, and a proactive approach to handling inquiries and managing the reception area. Responsibilities

  • Greet and welcome visitors promptly and with a friendly attitude.
  • Answer and direct phone calls to appropriate departments efficiently.
  • Maintain a clean and organized reception area at all times.
  • Provide basic and accurate information in person and via phone or email.
  • Handle customer inquiries and concerns in a polite and professional manner.
  • Coordinate front-desk activities, including mail, deliveries, and phone calls.
  • Keep detailed records of all incoming and outgoing correspondence.
  • Assist with administrative duties, such as scheduling meetings and managing calendars.
  • Manage the issuance of visitor passes and confidentiality agreements.
  • Order front office supplies and keep inventory of stock.
  • Provide administrative support across the organization as needed.
  • Ensure compliance with company policies and safety procedures at front desk.

Requirements

  • High school diploma or equivalent; additional qualifications are an asset.
  • Proven experience in a front desk or customer service role preferred.
  • Strong communication and interpersonal skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and basic computer operations.
  • Ability to remain professional and courteous in situations of stress.
  • Excellent organizational skills and ability to multitask effectively.
  • Experience in managing calendars and scheduling appointments is a plus.
