Job Description

The Front Desk Clerk plays a pivotal role in establishing a welcoming and efficient environment for guests, visitors, and staff. The ideal candidate is highly organized, exhibits excellent customer service skills, and possesses the ability to manage multiple tasks concurrently. As the first point of contact, the Front Desk Clerk is responsible for creating a positive impression through attentive service and clear communication. This role requires a commitment to professionalism, a friendly demeanor, and an understanding of basic administrative responsibilities. Working at the front desk goes beyond simply greeting visitors; it involves problem-solving, managing appointments, and handling inquiries, making it essential that the Front Desk Clerk demonstrates a proactive approach and maintains a calm, courteous attitude under pressure.


Responsibilities

  • Greet guests and provide them with superb customer service and assistance.
  • Answer phone calls, emails, and in-person inquiries efficiently and courteously.
  • Manage and schedule appointments, ensuring proper communication with staff and clients.
  • Keep the reception area tidy and presentable with all necessary materials.
  • Coordinate with various departments to fulfill guests' or staff requests promptly.
  • Process guest check-ins and check-outs in an efficient manner.
  • Record and update guest information, maintaining confidentiality and accuracy of records.
  • Handle basic billing, invoicing, and invoice discrepancies as needed.
  • Assist in solving guests’ complaints and concerns in a timely and professional manner.
  • Provide information about services, amenities, and general information about the property.
  • Maintain and update guest and staff logs as per the company policy.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing as required.

Requirements

  • High school diploma or equivalent education is required for this position.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Strong communication, interpersonal, and customer service skills are a must.
  • Ability to multitask, manage competing priorities, and work effectively under pressure.
  • Attention to detail and problem-solving skills are essential for this role.
  • Professional attitude, appearance, and a proactive approach to job responsibilities.
