Job Description

The Executive Assistant to the CEO plays a crucial role in supporting the CEO's daily operations, managing schedules, and coordinating communications. This position requires a highly organized individual who can handle a multitude of tasks and prioritize effectively in a fast-paced environment. As a key support to the CEO, the Executive Assistant must maintain confidentiality, exercise good judgment, and possess excellent interpersonal skills to interact effectively with a wide range of stakeholders. This role is ideal for a proactive individual who enjoys problem-solving and is capable of managing diverse projects. By ensuring efficient administrative operations, the Executive Assistant will enable the CEO to focus on strategic initiatives and drive organizational success.


Responsibilities

  • Manage and organize the CEO's complex calendar, scheduling meetings and appointments.
  • Screen, prioritize, and respond to incoming communications, including emails and phone calls.
  • Coordinate travel arrangements and prepare detailed itineraries for domestic and international trips.
  • Prepare and review correspondence, reports, and presentations on behalf of the CEO.
  • Facilitate and manage logistics for board meetings and executive team sessions.
  • Conduct research and compile data to support decision-making processes.
  • Act as the first point of contact between the CEO and external stakeholders and partners.
  • Maintain confidentiality and exercise discretion in handling sensitive company information.
  • Manage special projects and initiatives as directed by the CEO for strategic growth.
  • Assist in budget preparation and expense monitoring for the executive office.
  • Develop and maintain a systematic filing system for executive documentation and records.
  • Cultivate and maintain positive relationships across all levels of the organization.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Minimum of 5 years experience as an Executive Assistant or similar role.
  • Exceptional organizational and time-management skills required for multitasking demands.
  • Excellent communication skills, both written and verbal, are essential.
  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Strong decision-making abilities, with a proactive and solution-oriented mindset.
  • Ability to maintain high levels of confidentiality and discretion at all times.
  • Experience in managing complex travel arrangements and event coordination.
  • Flexibility to work in a dynamic, fast-paced environment with tight deadlines.
