Job Description

As an Executive Assistant to the CEO, you will play a pivotal role in ensuring the smooth operation of the executive office and facilitating the day-to-day functions that enable the CEO to focus on strategic corporate goals. You will be responsible for managing complex schedules, organizing meetings, and ensuring effective communications within the organization and with external stakeholders. This position requires someone who is adept at multitasking and comfortable working in a high-stakes environment. The ideal candidate will possess excellent organizational skills, a keen attention to detail, and the ability to maintain confidentiality. Responsibilities

  • Coordinate and manage the CEO's daily schedule to ensure effective time management.
  • Organize and prepare the necessary materials for board meetings and executive presentations.
  • Act as the primary point of contact between the CEO and internal or external stakeholders.
  • Handle confidential information with sensitivity and discretion to ensure privacy.
  • Plan and coordinate domestic and international travel arrangements for the CEO.
  • Facilitate communication within the executive team, ensuring information transparency.
  • Conduct research and prepare detailed reports to assist the CEO in decision-making processes.
  • Assist in developing and implementing office policies and procedures to improve efficiency.
  • Organize and maintain a filing system for the CEO's office, ensuring easy document retrieval.
  • Prepare and process expense reports in a timely and accurate manner.
  • Anticipate the needs of the CEO and address them proactively to support executive functions.
  • Arrange and coordinate special events and community engagements involving the CEO.

Requirements

  • Bachelor's degree in Business Administration or equivalent work experience is required.
  • Minimum of five years of experience as an executive assistant in a corporate environment.
  • Expert-level proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Excellent verbal and written communication skills, with a focus on clarity and conciseness.
  • Demonstrated ability to manage confidential information with discretion and integrity.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Proactive problem-solving skills with a focus on identifying and implementing solutions.
  • Strong interpersonal skills with the ability to build relationships with stakeholders.
  • Flexibility to adapt to changing priorities and handle multiple tasks under tight deadlines.
  • Experience coordinating complex international and domestic travel arrangements is preferred.
