Job Description

As an Executive Assistant to the CEO, you will play a vital role in ensuring the smooth operation of the executive office by providing high-level administrative support. Your responsibilities will be diverse, encompassing both professional and personal aspects of the CEO's life, to ensure maximum efficiency and effectiveness. You will be the key point of contact between the CEO and internal and external stakeholders, ensuring communications are clear and tasks are prioritized effectively. This role demands a high degree of professionalism, discretion, and organizational skill, along with the ability to manage multiple tasks simultaneously while maintaining a high level of attention to detail. Ultimately, your contribution will be pivotal in enabling the CEO to fulfill their strategic objectives and drive the success of the organization.


Responsibilities

  • Manage and maintain the CEO's calendar, ensuring seamless scheduling of meetings, appointments, and travel plans.
  • Coordinate executive communications, including taking calls and responding to emails efficiently.
  • Prepare internal and external corporate documents, reports, and presentations for team members and stakeholders.
  • Arrange and oversee all logistics related to domestic and international travel itineraries.
  • Act as a gatekeeper and point of contact for external parties, liaising with stakeholders as needed.
  • Conduct research, compile data, and prepare briefing papers for the CEO’s meetings.
  • Organize and attend meetings, capturing minutes, and ensuring actions are followed up promptly.
  • Assist with various personal tasks, ensuring a balanced work-personal life for the CEO.
  • Supervise or manage special projects and initiatives as directed by the CEO.
  • Maintain confidentiality and handle sensitive information with utmost discretion and professionalism.
  • Draft and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
  • Develop and implement effective organizational processes to enhance office productivity.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Proven experience as an Executive Assistant or similar role supporting executives.
  • Exceptional written and verbal communication skills with attention to detail.
  • Strong organizational and multitasking skills, with a keen ability to prioritize tasks.
  • Proficiency in Microsoft Office Suite, and other relevant software and tools.
  • Ability to work independently and maintain a high level of confidentiality.
  • Demonstrated problem-solving skills and ability to manage complex schedules.
