Job Description

We are seeking a proactive and detail-oriented Executive Assistant to support the CEO at our forward-thinking company, identified as 17D25. As the Executive Assistant, you will be instrumental in ensuring the smooth functioning of the executive office, anticipating needs, and streamlining day-to-day tasks of the CEO. Your role will involve interacting with high-level professionals and handling sensitive information with utmost confidentiality. You will be responsible for managing schedules, coordinating meetings, and serving as an effective liaison between the CEO and various departments as well as external partners. This position demands a high level of organizational efficiency, excellent communication skills, and the ability to remain adaptable in a fast-paced and often unpredictable environment.


Responsibilities

  • Manage and maintain the CEO’s calendar, including scheduling appointments and meetings efficiently.
  • Facilitate the seamless execution of executive office operations and processes.
  • Coordinate travel arrangements and manage logistics for business trips and events.
  • Prepare comprehensive reports, presentations, and correspondence for the CEO.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Serve as a key contact point between CEO, executives, and external partners.
  • Organize and support executive meetings, including agenda preparation and follow-ups.
  • Track and prioritize tasks and projects to ensure deadlines are consistently met.
  • Assist in the preparation and distribution of meeting notes and documents.
  • Manage and respond to emails and other communications on behalf of the CEO.
  • Ensure timely filing and retrieval of all critical executive documentation.
  • Act as a project manager for small-scale projects initiated by the CEO.

Requirements

  • Bachelor’s degree in Business Administration or a related field.
  • Proven experience as an executive assistant or in a similar role.
  • Outstanding organizational and time management skills are essential.
  • Strong verbal and written communication skills are required.
  • Ability to work with minimal supervision and a high degree of autonomy.
  • Excellence in Microsoft Office Suite and related business software tools.
  • Detail-oriented with the ability to multitask in a fast-paced environment.
  • Demonstrated ability to handle confidential and sensitive information discreetly.
