Job Description

The Billing Assistant plays a crucial role in ensuring the financial efficiency of an organization by managing invoices, financial transactions, and customer payments. Working under the supervision of the Finance or Accounts Manager, this position requires sharp attention to detail, excellent organizational abilities, and familiarity with accounting protocols. The Billing Assistant handles a variety of tasks that are critical to the smooth operation of billing procedures, including preparing and sending invoices, following up on outstanding payments, and maintaining accurate financial records. This role demands a professional who can work independently, but who also collaborates efficiently within a team. An ideal candidate will be proficient in accounting software and possess strong communication skills to interact with clients and resolve any billing discrepancies promptly.


Responsibilities

  • Prepare and distribute invoices to customers in a timely manner.
  • Record daily financial transactions and verify their accuracy thoroughly.
  • Reconcile accounts and resolve discrepancies in a diligent fashion.
  • Track expenses and process expense forms with rigorous attention to detail.
  • Assist in budgetary planning and implementation of financial procedures.
  • Collaborate with the finance team to maintain financial health and compliance.
  • Answer customer queries related to billing and resolve issues efficiently.
  • Maintain and update client financial records regularly and accurately.
  • Generate financial statements and reports for management review as required.
  • Ensure all billing and transaction records are kept confidentially and securely.
  • Assist with audit preparations and provide necessary support as needed.
  • Adhere to state and federal financial regulations and company policies consistently.

Requirements

  • Bachelor's degree in Accounting, Finance, or a related discipline preferred.
  • Minimum 2 years of experience in a billing or accounts payable role.
  • Proficiency with accounting software such as QuickBooks or SAP is crucial.
  • Strong numerical aptitude with excellent analytical and problem-solving skills.
  • Exceptional organizational skills and ability to meet tight deadlines consistently.
  • Excellent communication skills for effective interaction with clients and staff.
  • High level of integrity and ability to handle confidential information responsibly.
