Job Description

A Billing Assistant plays a crucial role in the financial and accounting departments of a company. The primary responsibilities include managing customer invoices, ensuring timely payments, and maintaining accurate financial records. This position is pivotal in supporting financial operations by assisting with billing procedures, tracking accounts receivable, and providing excellent customer service by answering billing-related inquiries. A Billing Assistant must have sharp attention to detail, strong organizational skills, and the ability to process numerical data efficiently. This role often requires collaboration with other departments, such as sales and customer support, to resolve billing discrepancies and improve the billing process.


Responsibilities

  • Prepare and issue invoices accurately and in a timely manner to clients.
  • Ensure all billing statements are correct and meet organizational standards.
  • Assist in tracking accounts receivable to ensure timely collection of payments.
  • Communicate effectively with clients to resolve billing inquiries and disputes.
  • Work closely with the finance team to reconcile any billing discrepancies.
  • Maintain accurate and updated customer billing information in the system.
  • Prepare regular reports on billing activities for finance department review.
  • Support month-end and year-end closing processes regarding billing activities.
  • Coordinate with the customer service team to manage complex billing scenarios.
  • Assist in implementing updated billing policies and suggesting process improvements.
  • Handle confidential billing information with the utmost integrity and discretion.
  • Ensure compliance with all company policies related to billing systems.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business, or related field preferred.
  • Previous experience working in billing, finance, or accounting is required.
  • Proficient in Microsoft Office Suite, especially Excel and accounting software.
  • Strong organizational skills with an excellent eye for detail and accuracy.
  • Exceptional communication skills for effective interaction with clients and staff.
  • Ability to work independently and manage multiple priorities and deadlines.
  • Excellent problem-solving skills to resolve complex billing issues effectively.
