Job Description

The role of Administration Executive is crucial in ensuring the smooth operation of company processes. This key position involves managing and coordinating administrative tasks to support the organization's management team, departments, and daily operations. The Administration Executive must possess strong organizational and communication skills to effectively oversee tasks such as scheduling meetings, preparing reports, and managing office supplies. This role requires an ability to work independently as well as collaboratively, with a proactive approach to problem-solving. A successful Administration Executive will exhibit a strong attention to detail, being able to handle multiple tasks with ease and efficiency, while maintaining a high standard of professionalism at all times.


Responsibilities

  • Coordinate and oversee daily administrative activities to support the management team.
  • Manage calendars and schedule appointments, meetings, and events for executives.
  • Prepare, organize, and maintain documents and records accurately and securely.
  • Monitor office supplies inventory and place orders when necessary to ensure availability.
  • Assist in the preparation and management of the department's budget and expenses.
  • Create and distribute internal communications such as memos and emails effectively.
  • Liaise with other department heads to ensure effective communication and cooperation.
  • Develop and implement new administrative systems for improved efficiency and productivity.
  • Handle incoming and outgoing correspondence, including emails, faxes, and phone calls.
  • Organize travel arrangements including booking flights and accommodation for executives.
  • Conduct research and compile data for management reports and presentations as needed.
  • Manage special projects as assigned by the administration manager or other senior staff.

Requirements

  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • Proven experience as an Administration Executive or similar administrative role required.
  • Strong organizational skills with the ability to multitask and prioritize workload.
  • Excellent communication and interpersonal skills to effectively liaise with stakeholders.
  • Proficient in the use of Microsoft Office Suite and office management software.
  • Demonstrated ability to maintain confidentiality and exercise discretion in all matters.
  • Detail-oriented and proactive, with strong problem-solving skills and resourcefulness.
