Job Description

The role of Senior Executive Assistant is pivotal in ensuring the smooth operation of executive offices and supporting senior management in high-level administrative tasks. The Senior Executive Assistant will manage a range of responsibilities requiring initiative, attention to detail, and the ability to handle sensitive information with discretion. This role involves serving as the primary point of contact between executives and internal/external parties, managing calendars, organizing meetings, and optimizing the efficiency of the executive office. The ideal candidate will possess excellent communication and organizational skills, along with the ability to work effectively in a fast-paced environment. They will be proactive, resourceful, and able to anticipate the needs of executives to provide top-tier support.


Responsibilities

  • Manage and coordinate complex calendars and schedules for senior executives with precision.
  • Serve as a primary point of contact between executives and internal/external parties effectively.
  • Prepare, edit, and manage correspondence, reports, presentations, and other key documents.
  • Organize and coordinate meetings, conferences, and executive off-site events efficiently.
  • Handle confidential information with the utmost discretion and professionalism.
  • Facilitate communication and follow-up with internal departments and external partners.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries seamlessly.
  • Prioritize tasks and manage time effectively to support executive productivity.
  • Screen and direct communications, including telephone calls and emails, with efficiency.
  • Support special projects and prepare relevant documentation and logistics as needed.
  • Anticipate executive needs and proactively seek ways to add value and improve efficiency.
  • Maintain and update a comprehensive filing system for easy document retrieval.

Requirements

  • Bachelor's degree in Business Administration or a related field is preferred.
  • A minimum of 5 years of experience supporting senior-level executives is required.
  • Proficient in Microsoft Office Suite and other productivity software applications.
  • Exceptional organizational and multitasking skills in a fast-paced environment.
  • Strong communication skills with a professional demeanor at all times.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Proactive approach with excellent problem-solving and decision-making skills.
