Job Description

A Senior Executive Assistant plays a critical role in ensuring the efficient operation of high-level executives' day-to-day activities. This position demands a strategic thinker and problem-solver who can juggle various administrative and organizational tasks with precision. The Senior Executive Assistant is responsible for managing extensive executive calendars, preparing reports, conducting research, and liaising with internal and external stakeholders. This role requires a highly organized individual who thrives in a fast-paced environment and possesses exceptional communication skills. The Senior Executive Assistant also acts as a gatekeeper, helping to prioritize tasks and filter communications, enabling executives to focus on making strategic decisions that drive the organization forward.


Responsibilities

  • Manage and prioritize executive schedules, ensuring efficient time management and productivity.
  • Coordinate and arrange meetings, conference calls, and appointments for top executives.
  • Prepare and review reports, presentations, and documents for accuracy and quality.
  • Conduct in-depth research to support high-level decision-making and strategic planning.
  • Act as a liaison between executives and internal or external stakeholders, clients, and partners.
  • Handle confidential information with discretion, maintaining a high level of integrity.
  • Organize travel arrangements, including booking flights, accommodations, and itineraries.
  • Manage executive correspondence, promptly responding to emails and phone calls.
  • Support executives with personal tasks as required, safeguarding work-life balance.
  • Oversee special projects as directed, ensuring timely completion and quality outcomes.
  • Assist in budget planning and tracking expenses to maintain financial efficiency.
  • Monitor and procure office supplies, ensuring that resources are adequate and well-stocked.

Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Minimum of 5 years’ experience as an Executive Assistant or similar role.
  • Excellent organizational and time management skills with an attention to detail.
  • Strong proficiency in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Outstanding verbal and written communication skills, with the ability to convey information clearly.
  • Ability to handle multiple tasks simultaneously and manage priorities effectively.
  • Demonstrated ability to maintain confidentiality and manage sensitive information.
