Job Description

The role of a Receptionist in the healthcare sector is critical for maintaining a welcoming and efficient front desk environment. As the first point of contact, the receptionist plays an integral role in shaping the patient’s experience by providing excellent customer service. They must manage communications between patients, staff, and health professionals while ensuring all operations at the reception area run smoothly. This role requires a detailed-oriented individual capable of multi-tasking in a dynamic environment. The Receptionist is also responsible for various clerical duties, including scheduling appointments, managing patient information, and ensuring that the front office is organized and well-maintained. The ideal candidate will have strong interpersonal skills, the ability to handle sensitive patient information with confidentiality, and a proactive approach to problem-solving.


Responsibilities

  • Greet and assist patients and visitors promptly upon their arrival.
  • Answer and manage incoming calls in a professional and courteous manner.
  • Schedule, confirm, and reschedule patient appointments efficiently and accurately.
  • Maintain and update patient records, ensuring accuracy and confidentiality.
  • Handle patient inquiries and provide necessary information or escalate as needed.
  • Coordinate with healthcare professionals and staff for effective patient management.
  • Ensure the reception area is tidy, welcoming, and free of clutter at all times.
  • Receive and distribute incoming mail and deliveries accurately and on time.
  • Verify patient’s insurance coverage and assist with billing inquiries.
  • Monitor office supplies and place orders to ensure smooth office operation.
  • Assist in preparing and processing patient forms and documentation when needed.
  • Handle emergency situations or patient complaints with calm and professionalism.

Requirements

  • High school diploma or equivalent; additional education is a plus.
  • Proven experience as a receptionist or in a customer service role preferred.
  • Excellent verbal and written communication skills required.
  • Strong organizational skills with the ability to multitask effectively.
  • Proficiency in Microsoft Office Suite and other relevant software programs.
  • Familiarity with healthcare operations and medical terminology is advantageous.
  • Ability to maintain confidentiality and handle sensitive information professionally.
