Job Description

We are seeking a personable and organized Receptionist to manage our front desk and perform a variety of administrative and clerical tasks. As the face of our company, the Receptionist will be responsible for creating a warm and welcoming environment for all guests and staff members. The ideal candidate will possess excellent communication skills, a friendly demeanor, and the ability to multitask in a dynamic work setting. This role is critical to ensuring smooth operations and maintaining the professional image of our business. The Receptionist will be the first point of contact for our clients, vendors, and visitors, representing our company values and culture. Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office swiftly.
  • Answer, screen, and forward incoming phone calls efficiently.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries timely.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep inventory of stock routinely.
  • Maintain and update contact lists and company directories as required.
  • Prepare and manage correspondence, reports, and documents efficiently.
  • Assist colleagues with administrative tasks as needed and suitable.
  • Perform other clerical receptionist duties such as filing and photocopying.

Requirements

  • Proven work experience as a Receptionist, Front Office Representative or similar role.
  • Proficiency in Microsoft Office Suite including Word, Excel, and Outlook.
  • Solid customer service skills with a professional appearance and attitude.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong interpersonal and communication skills, both written and oral.
  • Ability to be resourceful and proactive when issues arise unexpectedly.
  • Multitasking and time-management skills, with the ability to perform under pressure.
