Job Description

The Receptionist plays an integral role in creating a welcoming and efficient front office environment. As the first point of contact for clients, visitors, and team members, the Receptionist is responsible for ensuring a professional and courteous experience. This position requires excellent communication skills, a friendly demeanor, and the ability to multitask. The Receptionist will handle various administrative tasks, from managing phone calls and emails to coordinating meetings and appointments. With a focus on customer service, the Receptionist will provide information and direction to visitors, help address inquiries, and maintain an organized and neat reception area. This role is vital in promoting positive interactions and fostering smooth daily operations.


Responsibilities

  • Greet and welcome guests and visitors in a friendly manner.
  • Answer and direct phone calls to appropriate staff members or departments.
  • Maintain a clean and organized reception area at all times.
  • Provide basic and accurate information to guests and clients as needed.
  • Manage appointment scheduling and coordinate meeting rooms and setups.
  • Handle incoming and outgoing mail and packages efficiently.
  • Ensure the reception area is adequately stocked with office supplies.
  • Assist with administrative tasks such as filing, photocopying, and faxing.
  • Keep records of office inventory and reorder supplies when necessary.
  • Respond promptly to inquiries from visitors and staff members.
  • Support team members with projects or administrative assignments when required.
  • Maintain visitor logs and ensure building security procedures are followed.

Requirements

  • Previous experience as a receptionist or in a similar role preferred.
  • Strong customer service skills with a professional and friendly attitude.
  • Excellent communication skills, both verbal and written, are essential.
  • Proficiency in using MS Office Suite and office equipment required.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Strong organizational skills with attention to detail and accuracy.
  • High school diploma or equivalent required; additional certification is a plus.
