Job Description

We are seeking a professional and friendly Receptionist to join our team. As the first point of contact, the Receptionist will play a crucial role in representing our company by providing excellent customer service to visitors and staff alike. The ideal candidate will be detail-oriented, possess exceptional communication skills, and have the ability to handle multiple tasks efficiently. This role requires managing daily office operations, addressing inquiries, and coordinating front desk activities, including distributing correspondence and redirecting phone calls. The ideal candidate will have previous experience in a similar role and will be enthusiastic about contributing positively to our team culture.


Responsibilities

  • Greet and welcome visitors upon arrival, providing them with a positive first impression.
  • Answer, screen, and redirect incoming phone calls in a courteous manner.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Coordinate front-desk activities, including distributing correspondence and managing reservations.
  • Receive, sort, and distribute daily mail/deliveries to appropriate departments or individuals.
  • Provide basic and accurate information in person and via phone/email to clients and staff.
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
  • Monitor and order office supplies, maintaining inventory to avoid shortages.
  • Assist with administrative tasks such as filing, photocopying, and faxing as required.
  • Prepare and manage meeting and conference room bookings, ensuring they are set up as required.
  • Manage visitor records, including data logging and monitoring guest access as needed.
  • Offer logistical support for company events and meetings, including catering coordination.

Requirements

  • Proven work experience as a Receptionist or similar role for at least 1 year.
  • Proficiency in Microsoft Office Suite and office management software is necessary.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills in English are a must.
  • Customer service-oriented attitude with a friendly and professional demeanor.
  • Ability to handle stress and stay calm under pressure in a fast-paced environment.
  • High school diploma or equivalent; further education or experience in office management is a plus.
