Job Description

The role of a Receptionist is crucial in establishing and maintaining a positive first impression for all visiting customers, clients, and associates. As a key point of contact, the Receptionist is responsible for managing front desk operations, handling inquiries, and performing administrative duties to ensure smooth office operations. A successful Receptionist is both personable and organized, facilitating seamless communication between the internal team and external clients. Responsibilities

  • Greet and welcome all visitors in a warm and friendly manner.
  • Answer incoming calls and direct them to the appropriate departments or individuals.
  • Maintain a clean, organized, and aesthetically pleasing front desk area.
  • Coordinate scheduling and set up meetings between clients and team members.
  • Manage incoming and outgoing mail, parcels, and correspondence efficiently.
  • Provide accurate information to inquiries from clients or visitors.
  • Assist with administrative tasks such as organizing files and updating records.
  • Monitor office supplies and notify management regarding inventory stock levels.
  • Facilitate internal communication across departments by relaying messages effectively.
  • Ensure compliance with all health and safety regulations at the front desk area.
  • Maintain confidentiality of sensitive company, client, and employee information.
  • Assist with additional projects as needed, supporting various departmental needs.

Requirements

  • High school diploma or equivalent qualification is required.
  • Previous experience as a receptionist or in a related field preferred.
  • Proficient in using Microsoft Office Suite and office technology.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational and multitasking abilities in a dynamic environment.
  • Professional appearance, demeanor, and positive attitude at all times.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
