Job Description

A Payroll Executive plays a crucial role within the finance and accounting department of an organization, ensuring that employees are paid accurately and on time. This position requires meticulous attention to detail, a strong understanding of payroll systems, and an ability to handle sensitive information with confidentiality. The Payroll Executive is responsible for processing payroll for all employees, managing payroll deductions, and maintaining accurate payroll records. They work closely with HR, finance, and accounting teams to ensure compliance with relevant laws and regulations. As a Payroll Executive, you will also handle employee queries regarding payroll and work to resolve any issues promptly. This role demands excellent organizational skills, proficiency in payroll software, and the ability to adapt to changes in payroll practices and legislation.


Responsibilities

  • Process payroll for all employees accurately and in a timely manner.
  • Manage and record all payroll deductions, including taxes and benefits.
  • Maintain and update payroll records ensuring data integrity and accuracy.
  • Coordinate with HR for accurate employee data and payroll changes.
  • Ensure compliance with state and federal payroll regulations and laws.
  • Prepare and distribute employee payroll statements and resolve any discrepancies.
  • Reconcile payroll accounts and ensure proper fund allocation and reporting.
  • Compile reports for management, accounting, and auditing regarding payroll activities.
  • Assist with the annual payroll budget planning and forecasting processes.
  • Respond to and resolve employee inquiries related to payroll in a timely manner.
  • Stay updated on changes in payroll legislation and industry best practices.
  • Collaborate with other departments to ensure smooth payroll operations.

Requirements

  • Bachelor’s degree in finance, accounting, business administration, or a related field.
  • Proven experience in managing payroll functions within a corporate environment.
  • Strong knowledge of payroll software and proficiency in Microsoft Office Suite.
  • Excellent organizational skills and attention to detail for accurate payroll processing.
  • Strong understanding of tax regulations and compliance related to payroll.
  • Ability to maintain confidentiality and handle sensitive employee information discreetly.
  • Excellent communication skills, both verbal and written, for employee interactions.
