Job Description

The Operations Assistant is essential in supporting the daily operational functions of an organization. This role involves assisting in various projects and tasks that ensure the organization's operations run smoothly and efficiently. The Operations Assistant will cooperate with multiple departments to facilitate communication and workflow and assist in managing schedules, organizing meetings, and maintaining records. Successful candidates will possess excellent organizational skills, a keen attention to detail, and the ability to work collaboratively in a fast-paced environment. Responsibilities

  • Assist in the coordination and execution of daily operational tasks and duties.
  • Maintain and update organizational databases and systems as needed for efficiency.
  • Prepare necessary documentation and reports for management and operations support.
  • Coordinate meetings, including scheduling, agenda preparation, and follow-up actions.
  • Communicate and collaborate effectively with team members across different departments.
  • Oversee inventory management, ensuring supplies are stocked and properly accounted for.
  • Manage incoming and outgoing correspondence, sorting and distributing as necessary.
  • Support project management by tracking progress and reporting on milestones.
  • Assist in developing and implementing operational policies and procedures.
  • Provide administrative support to senior management to aid in daily activities.
  • Monitor and ensure compliance with organizational standards and policies.
  • Contribute to team efforts by accomplishing related tasks as needed.

Requirements

  • Bachelor’s degree in business administration or a related field preferred.
  • Previous experience in an administrative or operational support role required.
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Strong organizational and multitasking skills are essential for this role.
  • Excellent written and verbal communication skills are necessary.
  • Demonstrated ability to work effectively both independently and in a team.
  • Attention to detail and the ability to maintain accurate records is important.
