Job Description

The Invoicing & Billing Coordinator is a crucial role within our finance department, responsible for managing the billing cycle and ensuring accurate and timely invoice processing. This position requires a keen eye for detail, strong organizational skills, and the ability to work effectively under pressure to meet deadlines. As an Invoicing & Billing Coordinator, you will play an indispensable role in maintaining our financial health by supporting accounts receivable operations, streamlining billing procedures, and communicating effectively with clients and internal teams. You'll contribute to process improvements to enhance efficiency and customer satisfaction. Responsibilities

  • Oversee daily invoicing and billing processes to ensure accuracy and timeliness.
  • Prepare and send out invoices to clients in accordance with contractual agreements.
  • Collaborate with the finance team to reconcile billing records and accounts.
  • Investigate and resolve billing discrepancies promptly and efficiently.
  • Maintain comprehensive records of invoices, payments, and transaction history.
  • Communicate with clients regarding billing inquiries and payment status updates.
  • Assist in implementing process improvements to optimize billing efficiency.
  • Generate reports on billing activities for management review and analysis.
  • Ensure compliance with company policies and regulatory requirements.
  • Work closely with sales and customer service teams to address client needs.
  • Train and support junior staff members on billing processes as needed.
  • Provide assistance during internal and external audits concerning billing processes.

Requirements

  • Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
  • Minimum of 2 years of experience in billing or invoicing roles.
  • Proficiency with accounting software and billing platforms is required.
  • Excellent attention to detail and a high level of accuracy is essential.
  • Strong organizational and time-management skills to meet deadlines consistently.
  • Exceptional communication skills, both verbal and written, are needed.
  • Ability to handle sensitive information with confidentiality and professionalism.
