Job Description

The Front Office Executive is a pivotal role in ensuring seamless customer service and maintains the professionalism and efficiency of our organization's front office operations. As a front office executive, you'll be the first point of contact for our clients and visitors, which makes your role extremely important for improving customer experience and satisfaction. The role requires excellent communication skills, a friendly attitude, and the ability to handle various administrative tasks simultaneously. In this position, you will interact with clients face-to-face, over the phone, and via email, requiring a polished demeanor and a proactive approach to problem-solving. Your organizational skills will ensure that the front office functions in a smooth and effective manner, contributing to an overall positive impression of our company.


Responsibilities

  • Greet and welcome guests as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office with professionalism.
  • Answer, screen, and forward incoming phone calls promptly and courteously.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries efficiently.
  • Maintain office security by following safety procedures and controlling access.
  • Order front office supplies and keep an inventory of stock as required.
  • Update calendars and schedule meetings, ensuring optimal time management.
  • Perform other clerical duties such as filing, photocopying, and faxing.
  • Coordinate with other departments to assist with administrative tasks.
  • Organize and prepare meeting spaces to facilitate effective business discussions.

Requirements

  • High school diploma or relevant qualification; a degree is a plus.
  • Proven work experience as a front office executive or similar role.
  • Familiarity with office machines, such as printers and fax machines.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Solid written and verbal communication skills in English.
  • Strong organizational skills, with the ability to multi-task efficiently.
  • Exceptional customer service attitude with an attention to detail.
