Job Description

The position of Front Office Executive is a critical role in any organization, serving as the first point of contact for clients, visitors, and internal staff. This role requires a professional, organized, and hospitable individual who is comfortable managing multiple tasks and responsibilities. As a Front Office Executive, you will be responsible for maintaining the front desk's operations, greeting and assisting visitors, managing incoming and outgoing correspondence, and providing essential administrative support. You will serve as a key liaison between various departments, ensuring smooth and efficient communication flow within the organization. The ideal candidate will possess excellent interpersonal and communication skills, a proactive approach to problem-solving, and the ability to handle high-pressure situations with poise and professionalism.


Responsibilities

  • Welcome and greet visitors, clients, and staff in a courteous manner.
  • Manage incoming phone calls and direct them to the relevant personnel.
  • Coordinate scheduling of appointments and manage meeting room bookings efficiently.
  • Handle all correspondence, including emails, letters, and packages reliably.
  • Ensure the front desk area is tidy, organized, and presentable at all times.
  • Support administrative tasks, such as data entry and filing of documents.
  • Assist with the preparation and dissemination of communications and reports.
  • Collaborate with the HR department for onboarding of new employees when required.
  • Maintain security by following procedures and controlling access points.
  • Troubleshoot and coordinate resolution for office equipment and connectivity issues.
  • Facilitate communication and collaboration between departments effectively.
  • Provide exceptional customer service and address visitor inquiries proficiently.

Requirements

  • Bachelor’s degree in Business Administration or related field preferred.
  • Proven experience in a front office manager role or similar position.
  • Excellent verbal and written communication skills required.
  • Strong organizational and multitasking abilities are essential.
  • Proficiency in Microsoft Office Suite and general office technology.
  • Ability to handle high-pressure situations with professionalism and composure.
  • High level of attention to detail with a commitment to accuracy.
