Responsibilities

  • Greet and welcome guests, clients, and staff as they arrive at the office.
  • Manage the reception area, maintaining a clean and organized environment.
  • Promptly answer and direct phone calls, handling inquiries efficiently.
  • Coordinate appointments and scheduling with staff to ensure time management.
  • Manage and distribute incoming and outgoing mail and deliveries.
  • Provide general administrative support to the office management team as required.
  • Maintain and update visitor records and employee directories in the system.
  • Assist in the preparation of meeting rooms and conference calls.
  • Liaise with facility management and vendors to solve office-related issues promptly.
  • Monitor and order office supplies to ensure constant availability of essentials.
  • Ensure security protocols are followed by managing visitor logs and ID checks.
  • Support HR and other departments with additional clerical tasks as needed.

Requirements

  • Proven experience as a front office executive or in a relevant role.
  • Excellent communication skills, both verbal and written, are essential.
  • Strong organizational skills with the ability to multitask effectively.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Customer service mindset with a proactive approach to issue resolution.
  • High school diploma; additional qualifications are considered a plus.
  • Ability to work independently and handle sensitive information with confidentiality.
