A Front Office Executive is a professional who undertakes various administrative duties in an organization. Responsibilities

  • Greet and welcome guests and clients in a professional manner.
  • Answer and direct phone calls to the appropriate personnel swiftly and accurately.
  • Manage incoming and outgoing mail, and courier services effectively.
  • Coordinate with administrative staff to manage scheduling and appointments.
  • Maintain and update client records with meticulous attention for accuracy.
  • Oversee the office supplies inventory and place orders when necessary.
  • Handle customer inquiries and complaints with tact and professionalism.
  • Monitor and manage the reception area to ensure it is tidy and presentable.
  • Assist with general administrative duties such as data entry and clerical tasks.
  • Collaborate with various departments to ensure smooth execution of tasks.
  • Ensure compliance with security and confidentiality standards as required.
  • Provide accurate reporting and documentation as necessary for office tasks.

Requirements

  • Proven experience as a Front Office Executive or similar role in an office setting.
  • Proficiency in office management software such as MS Office and relevant databases.
  • Excellent verbal and written communication skills with attention to detail.
  • Strong organizational skills with the ability to multitask efficiently under pressure.
  • Professional appearance and demeanor suitable for a high-profile company.
  • High school diploma; additional qualifications in office administration are a plus.
  • Ability to work independently and as part of a team, with flexibility in duties.
