Job Description

The Front Desk Receptionist is the first point of contact for visitors and callers at our organization. This role is crucial as it sets the tone for the visitor’s experience with the company. The ideal candidate will be friendly, organized, and possess strong communication skills. The Front Desk Receptionist is responsible for delivering an excellent customer service experience and managing switchboard duties effectively. This role involves multitasking and requires the receptionist to perform clerical duties in an efficient manner. Responsibilities

  • Greet and direct all visitors and clients upon arrival with warmth.
  • Manage and direct incoming phone calls accurately and efficiently.
  • Schedule and coordinate meeting room bookings and maintain availability.
  • Receive and distribute all deliveries and mail appropriately to recipients.
  • Maintain a neat and clean reception area to uphold company image.
  • Assist in the maintenance and updating of contact lists and databases.
  • Ensure the reception area and meeting rooms are well-stocked and organized.
  • Provide basic information about the company and its services to visitors.
  • Handle inquiries both in person and through digital communication channels.
  • Assist with administrative tasks such as photocopying and document preparation.
  • Monitor security access; ensure that visitors sign in and wear badges.
  • Coordinate travel arrangements for staff and visitors as required.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven experience as a front desk representative or in a similar role.
  • Proficient in Microsoft Office Suite and familiarity with office equipment.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to maintain a positive attitude and provide excellent customer service.
  • Professional appearance and demeanor with dependability and punctuality.
