Job Description

The Front Desk Receptionist is a pivotal role in any organization, serving as the first point of contact for clients, visitors, and employees. This position requires a professional who can handle multiple tasks efficiently and is capable of providing superior customer service. The receptionist is responsible for greeting visitors, managing phone calls, handling inquiries, and undertaking administrative tasks that contribute to the smooth operation of the office. Responsibilities

  • Warmly greet visitors and direct them appropriately upon arrival.
  • Answer, screen, and forward incoming phone calls promptly and efficiently.
  • Manage visitor logs and ensure the security of the premises.
  • Provide accurate information in response to queries from visitors and employees.
  • Schedule and confirm appointments, ensuring there are no conflicts or overlaps.
  • Keep the front desk tidy, organized, and well-stocked with necessary supplies.
  • Receive, sort, and distribute daily mail and deliveries to appropriate departments.
  • Assist with various administrative tasks including data entry and filing.
  • Coordinate with other staff to ensure seamless operation across departments.
  • Handle emergency situations calmly and with due care, following procedures.
  • Update and maintain office policies and procedures as required.
  • Assist with the setup and preparation for meetings and conferences.

Requirements

  • High school diploma or equivalent; further education is a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite and experience with office equipment.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Exceptional customer service skills and a friendly, approachable demeanor.
  • Excellent verbal and written communication skills essential for this role.
  • Ability to maintain confidentiality and handle sensitive information discreetly.
