The Front Desk Receptionist is the first point of contact for our organization and plays a crucial role in shaping the initial impression of clients, visitors, and community members. This position requires exceptional customer service skills, a professional demeanor, and the ability to handle a multitude of tasks efficiently and gracefully. As a Front Desk Receptionist, you will be responsible for greeting guests, managing incoming calls, maintaining records, and coordinating office activities. Responsibilities

  • Greet visitors with a warm and friendly demeanor upon arrival.
  • Answer and direct incoming phone calls efficiently to the right departments.
  • Maintain and update the visitor sign-in log with accurate information.
  • Manage incoming and outgoing mail, parcels, and deliveries promptly.
  • Assist with booking meeting rooms and coordinating appointments as needed.
  • Maintain a tidy and welcoming reception area, ensuring brochures are available.
  • Assist with administrative tasks, including data entry and filing systems organization.
  • Provide information and assistance to clients and visitors when required.
  • Coordinate with building management for maintenance or other issues affecting the office.
  • Handle customer inquiries and complaints with professionalism and patience.
  • Support staff with special projects or key tasks during busy periods.
  • Use office equipment, such as copiers and fax machines, efficiently and correctly.

Requirements

  • High school diploma or equivalent; additional certification is a plus.
  • Proven work experience as a receptionist, front office representative, or similar role.
  • Proficient in Microsoft Office Suite and general computer skills.
  • Strong organizational skills with the ability to multitask efficiently.
  • Excellent communication and interpersonal skills, both verbal and written.
  • Customer service orientation and ability to handle sensitive situations tactfully.
  • Ability to maintain confidentiality and manage corporate information discreetly.
