Job Description

The Front Desk Executive is a vital part of the hospitality and corporate sectors, acting as the first point of contact for clients, visitors, and employees. This role involves providing exceptional customer service, maintaining the reception area, and handling a variety of administrative tasks. A Front Desk Executive must display a professional appearance, have excellent communication skills, and possess the ability to handle multitasking in a busy environment. This position requires a detail-oriented individual who can perform efficiently under pressure while managing inquiries, bookings, and customer requests. Responsibilities

  • Greet and welcome visitors as soon as they arrive at the front desk.
  • Direct visitors to the appropriate person and office within the facility.
  • Answer, screen, and forward incoming phone calls professionally and efficiently.
  • Ensure the reception area is tidy and presentable at all times.
  • Provide accurate information in person and via phone/email as required.
  • Receive, sort, and distribute daily mail, deliveries, and courier items.
  • Maintain office security by following safety procedures and controlling access.
  • Update appointment logs and schedule meetings when necessary to enhance office organization.
  • Perform other clerical receptionist duties such as filing, photocopying, and faxing.
  • Manage basic inquiries and provide support to the administration as required.
  • Assist with registration and check-in processes during events or meetings.
  • Collaborate with other staff to ensure smooth operation and communication.

Requirements

  • Proven work experience as a Front Desk Executive or in a similar role.
  • Professional attitude and appearance with a strong customer service focus.
  • Proficiency in Microsoft Office Suite or related tools for administrative tasks.
  • Hands-on experience with office equipment like fax machines and printers.
  • Excellent communication skills, both written and verbal, are essential.
  • Strong organizational skills, with the ability to multitask effectively.
  • High school diploma; additional certification in office management is a plus.
