Job Description

As an Export Documentation Executive, you will be at the forefront of managing the administrative aspects of international shipping processes. This role is pivotal in ensuring that all export shipments comply with both domestic and international laws and regulations. You will be responsible for preparing and verifying all required documents for exporting goods, maintaining an impeccable attention to detail. The ideal candidate will possess strong organizational skills, possess a keen eye for detail, and have the ability to work under tight deadlines. You will also liaise with a variety of stakeholders including shipping lines, freight forwarders, as well as internal teams to ensure a smooth, efficient documentation process.


Responsibilities

  • Prepare and verify all necessary export paperwork in compliance with regulations.
  • Ensure accurate and timely submission of export documentation to authorities.
  • Coordinate with shipping lines for the documentation and clearance processes.
  • Maintain comprehensive records of all export transactions for audit purposes.
  • Resolve any discrepancies in documentation to ensure timely shipments.
  • Work closely with freight forwarders to guarantee seamless logistics operations.
  • Liaise with customers to gather detailed information required for export documentation.
  • Ensure shipping instructions are followed in detail to avoid any delays.
  • Stay updated on international trade laws and incorporate changes into processes.
  • Provide training to new team members on export documentation procedures.
  • Assist in the development of systems and processes that improve documentation accuracy.
  • Prepare necessary reports related to export documentation for management review.

Requirements

  • Bachelor's degree in business administration, logistics, or related field preferred.
  • Minimum of 2 years experience in export documentation or related field.
  • Strong knowledge of international shipping and trade regulations required.
  • Exceptional organizational skills and attention to detail are essential.
  • Proficient in using documentation software and standard office applications.
  • Strong communication skills and ability to work with diverse teams.
  • Ability to work efficiently under tight deadlines and manage multiple tasks.
