Job Description

The position of Export Documentation Executive is pivotal in facilitating the seamless transportation of goods across international borders. As an Export Documentation Executive, you will be responsible for preparing and managing the documents associated with the export of goods, which is crucial for ensuring conformity with global trade regulations and minimizing delays. The role requires meticulous attention to detail, a thorough understanding of documentation processes, and a keen awareness of international trade regulations. Candidates will find this role both challenging and rewarding as they play a vital part in the global supply chain, ensuring the company's exports meet all legal and regulatory requirements, and maintaining a smooth steam of operations across international trade lines. You will be interacting regularly with internal teams, freight forwarders, customs brokers, and other external partners to ensure compliance, accuracy, and timeliness of export shipments.


Responsibilities

  • Prepare and process export documentation according to customs regulations and company policies.
  • Coordinate with internal departments to gather information required for export processes.
  • Assist in obtaining required export licenses and permits from relevant authorities.
  • Ensure that all documentation complies with international trade regulations and client requirements.
  • Track and monitor shipment status to ensure timely and problem-free delivery of goods.
  • Communicate effectively with freight forwarders, shipping lines, and customs brokers to facilitate smooth shipments.
  • Maintain accurate records of all export documentation for audit and reference purposes.
  • Resolve any discrepancies related to export processes in a timely manner.
  • Provide assistance in negotiating freight rates and scheduling deliveries as required.
  • Stay updated with the latest trade regulations and industry practices to ensure compliance.
  • Collaborate with Compliance and Legal teams to align export documentation procedures.
  • Contribute to process improvements by proposing changes to documentation workflows.

Requirements

  • Bachelor’s degree in International Trade, Logistics, Business, or related field.
  • At least two years of experience in export documentation or related logistics roles.
  • Strong understanding of international shipping regulations and documentation requirements.
  • Excellent communication and organizational skills to manage multiple tasks efficiently.
  • Proficiency in using export documentation software and Microsoft Office Suite.
  • Ability to work under pressure and adhere to tight deadlines effectively.
  • Detail-oriented mindset with a focus on accuracy and regulatory compliance.
