Job Description

As an Executive Assistant, your role is crucial in enhancing the effectiveness and efficiency of the executive management team you support. By expertly managing schedules, communications, and logistical needs, you enable executives to focus on strategic initiatives and decision-making. This position demands excellent organizational skills, discretion, attention to detail, and the ability to manage multiple projects simultaneously. You will serve as a gatekeeper and a central point of contact for both internal teams and external partners. Your proactive approach and ability to anticipate needs are key to ensuring smooth operations. A successful candidate will be an energetic, self-starter with a knack for anticipating needs and resolving problems before they arise.


Responsibilities

  • Manage executives' calendars, including scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prepare necessary materials for meetings, presentations, and other executive activities.
  • Serve as the primary point of contact for internal and external communications on behalf of executives.
  • Maintain confidential information with integrity and discretion at all times.
  • Draft, edit, and distribute correspondence, memos, and reports as needed by executives.
  • Filter and prioritize incoming inquiries and communications for executive review.
  • Ensure executives have timely access to relevant information and required documents.
  • Organize company events, meetings, luncheons, and team engagements as requested.
  • Assist with special projects and conduct research as required by executive leadership.
  • Liaise with other departments to ensure seamless communication and workflow processes.
  • Proactively identify and resolve potential scheduling and administrative conflicts.
  • Maintain detailed records of minutes and action items from executive meetings.

Requirements

  • Bachelor’s degree in Business Administration or a related field preferred.
  • Minimum of 5 years of senior-level executive assistant experience required.
  • Exceptional organizational skills with a strong attention to detail and accuracy.
  • Excellent verbal and written communication skills are essential for this role.
  • Ability to handle sensitive information with the highest level of confidentiality.
  • Proficient in Microsoft Office Suite, G Suite, and office management software.
  • Proven ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Strong interpersonal skills and the ability to build relationships with stakeholders.
  • Demonstrated proactive approach to problem-solving with strong decision-making capability.
