Job Description

As an Executive Assistant at our company, you will play a pivotal role in ensuring the seamless operation of our executive team. You will be the right hand to our senior leaders, providing comprehensive support to enhance their productivity and effectiveness. Your responsibilities will include managing their schedules, organizing and preparing for meetings, and handling communications. Precision and discretion are crucial as you work with sensitive and confidential information. You will also be a key liaison between the executive team and the broader organization, facilitating communication and ensuring that information flows smoothly. The ideal candidate will be proactive, detail-oriented, and have exceptional organizational skills. Responsibilities

  • Manage and maintain schedules, calendars, and appointments for executives with efficiency.
  • Coordinate travel arrangements including booking flights, hotels, and transportation services.
  • Prepare, proofread, and edit written correspondence, reports, and presentations.
  • Handle confidential information with complete discretion and professionalism at all times.
  • Organize and prepare for meetings, including gathering documents and attending to logistics.
  • Act as a liaison between the executives and internal/external stakeholders and clients.
  • Respond to and prioritize emails and phone calls on behalf of executives promptly.
  • Assist with the preparation of executive-level presentations and materials as needed.
  • Conduct research and manage special projects as assigned by executive management.
  • Track and manage various executive expenses and submit for reimbursement.
  • Implement and maintain office filing and storage systems for the executive team.
  • Assist with various administrative tasks essential to executive operations and workflows.

Requirements

  • Bachelor’s degree in Business Administration, Management, or related field preferred.
  • Minimum of 3-5 years of experience in an executive support role is required.
  • Exceptional organizational skills with an ability to manage multiple tasks concurrently.
  • Proficiency in Microsoft Office Suite and executive scheduling software is necessary.
  • Strong written and verbal communication skills are essential for effective collaborations.
  • Proven ability to handle sensitive information with the utmost confidentiality and discretion.
  • Problem-solving skills with attention to detail and an ability to work independently.
