Job Description

An Accounts Payable Executive plays a vital role in managing an organization's financial operations, focusing on ensuring that all invoices are processed efficiently and payments are made accurately and on time. This position requires an individual who is meticulous, detail-oriented, and able to handle a high volume of transactions. The ideal candidate will possess a strong understanding of accounting principles, be skilled in using financial software, and have excellent communication skills to interact with vendors and the finance department effectively. The Accounts Payable Executive must be able to work independently as well as collaboratively within a team to ensure smooth operations in the accounts payable processes.


Responsibilities

  • Process financial transactions and data entry for multiple invoices weekly.
  • Reconcile accounts payable transactions to ensure accurate ledger maintenance.
  • Review and verify invoices and check requests to confirm legitimacy.
  • Sort, code, and match invoices to purchase orders or shipping documents.
  • Monitor accounts to ensure timely payments are processed to all vendors.
  • Research and resolve invoice discrepancies and issues through appropriate channels.
  • Maintain vendor files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
  • Provide supporting documentation for audits and other financial inquiries as required.
  • Assist in month-end closing tasks and accruals related to accounts payable.
  • Communicate with other departments to address discrepancies in billing or payments.
  • Continuously improve processes to increase efficiency in the accounts payable function.
  • Comply with financial policies and regulations to uphold integrity and accuracy.

Requirements

  • Bachelor’s degree in Accounting, Finance, or a related field preferred.
  • Minimum of 2-3 years of experience in an accounts payable role required.
  • Proficiency in accounting software such as SAP, Oracle, or QuickBooks.
  • Strong understanding of basic accounting principles and reconciliations.
  • Excellent organizational skills with a high level of attention to detail.
  • Ability to work independently and manage time effectively under deadlines.
  • Strong communication skills to interact with vendors and internal staff.
