Job Summary
The proposed position is for a Document Controller to support project in records management and administrative activities for one or more key result areas. Key activities include understanding GBU specific and project specific process, plan, control, distribute and transmit records as per defined process and using automated tools and archive project records as directed by Project management. Maintaining quality, correctness and timely execution of activities are critical requirements of the position.
Major Responsibilities
- Provides support for Enterprise Content Management Systems (ECMS) such as Aconex and InfoWorks and archival/retention management systems such as DocFinity, and other associated tools
- Uses standard Enterprise Content Management System (ECMS), archival/retention management systems, and/or SaaS applications to register, control, distribute, transmit and archive project records
- Interacts with end users to support, troubleshoot, and resolve issues
- Monitors and ensures timely closure of support tasks/incidents
- May support migration and/or upgrade events
Education And Experience Requirements
- Postgraduate/ Graduate in any discipline and Computer Literacy. Certification in Information and Documentation Management is desirable.
- 8 - 12 yrs. Of working experience in Document Management. Experience in EPC industry is desirable
- Experience in using standard Electronic Document Management System (EDMS) to register, control, distribute, transmit and archive project records. Plans, controls, and carries out records management and administrative activities for the project for one or more key result areas, e.g., document control, communications control, file administration, or client administrative support.
- Proven capability of processing a high volume of supplier and/or project documentation.
- Develop and support the implementation of the records retention and turnover plans.
- Work in team environment and provide training on Work process and tools.
Required Knowledge And Skills
- Proficiency in using Computers, and software such as MS-Excel, MS Access or any other Database Management Software is a pre-requisite. Work experience on Aconex or any other Document Management Solution is essential.
- Should have excellent hold on Excel features, Excel Macro writing etc.
- Processing Project Records in native drawings formats (mainly MicroStation and AutoCAD drawings), signed PDF format, converted PDF format from native file, Word, Excel, PowerPoint etc
- Distribution of Project Records from Aconex to desired destinations (Clients, Suppliers, Engineering & Procurement team, etc)
- Quick retrieval of Project Records from Aconex
- Publishing document metadata, Accurate turnover of Project Records (both electronic as well as hard copy) as determined by the Project Management Team
- Administrative tasks

- Excellent communication skills (oral and written)
- Strong aptitude for automation and eager to learn
- Strong analytical skills to identify problems and work with Global Team / Vendor to determine, develop and implement solutions
- Good interpersonal skills to provide daily user support.
- Ability to prioritize and flexibility to multi-task in a fluid environment
- Ability to work independently with minimal supervision in challenging, dynamic work environment
