The Real Estate Office Administrator is an integral part of a dynamic team responsible for providing essential support in a busy real estate office. Responsibilities

  • Greet and assist clients and visitors as the initial point of contact.
  • Maintain and organize real estate listings databases effectively and efficiently.
  • Coordinate and schedule meetings, appointments, and property viewings.
  • Prepare and manage documentation related to property transactions and contracts.
  • Oversee office supplies inventory, ensuring materials are stocked and updated.
  • Handle customer inquiries via phone calls, emails, and in-person visits proficiently.
  • Assist real estate agents with administrative tasks to facilitate smooth operations.
  • Manage incoming and outgoing mail, parcels, and communication promptly.
  • Ensure the office is tidy, well-organized, and professional at all times.
  • Update property listings and ensure accurate information is available online.
  • Collaborate with other departments to ensure seamless office operation.
  • Create and distribute office communication and reports as required.

Requirements

  • High school diploma or equivalent; additional qualifications are an advantage.
  • Proven experience in an administrative role, preferably in real estate.
  • Excellent organizational and multitasking skills to manage multiple tasks efficiently.
  • Strong verbal and written communication skills with attention to detail.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
  • Ability to maintain confidentiality and handle sensitive information responsibly.
  • Knowledge of real estate industry software and tools is a plus.
